Receptionist

 

Description:

Ideally you will have worked in a Vet Clinic before but it is not essential. Great customer service and some administration experience is required in order to be considered. The working hours required will ideally be full time but part time with a minimum of 3 full days will also be considered. You will also need to be flexible for some weekend hours.

This position is responsible for providing a professional, customer focussed first point of contact for this clinic. This role provides a well organised, caring and friendly service to clients and staff members to assist in day to day operations and ensure appointments and transactions are processed smoothly.

Key Responsibilities
 

  • Responding to email enquiries in a timely and professional manner
  • Answering phone calls and enquiries in a friendly and professional manner
  • Scheduling appointments
  • Greeting clients as they arrive
  • Support other staff as the needed with administrative tasks
  • Guide clients and their pets to the Doctor's rooms
  • Ensuring office documentation is appropriately completed
  • Ensuring patient information is treated as confidential and not discussed outside of the clinic
  • Keeping the Reception and retail area is tidy and well presented at all times
  • Processing transactions for product sales
  • Invoicing
  • Calling clients to follow up after their appointments
  • Following up on lab results
  • Assisting with end of day reconciliation
  • Assisting with some general cleaning and tidying of the clinic
  • Ensuring the shelves are stocked and tidy
     

Ideally you will have:
 

  • Excellent customer service skills and experienced with taking enquiries in an empathetic and professional manner by telephone and face to face
  • Some proven administrative experience
  • Experience working within the vet industry would be ideal but not essential
  • Excellent verbal and written communication skills with the ability to relate to people from a variety of backgrounds with empathy
  • Demonstrated ability in determining priorities and meeting deadlines
  • Experience with processing payments would be ideal
  • Experience with booking appointments
  • Excellent attention to detail
  • The ability to work collaboratively with the team to achieve work outcomes
