The Volunteer Emergency Services Equipment Program (VESEP) team is responsible for the coordination and management of the annual grants program supporting CFA volunteers with the delivery of approved Tankers, Specialist Vehicles, Equipment, Amenities, and Minor Works projects supporting CFA's emergency service delivery to protect the Victorian community.

This opportunity will suit a process driven operator who has experience in grant allocation administration. You will provide efficient and effective business administrative support to the grants projects and requires someone who is team orientated, capable of working independently and proactively. The position allows flexible working arrangements. Specifically, the duties include:

  • Ensure the project support function is managed in an efficient and effective manner, allowing appropriate prioritisation of tasks
  • Basic financial transactions in SAP, including creation of purchase orders and budgetary functions including reconciliations and reporting
  • Record management in MS Access database. Managing reports and other documentation, ensuring correct and appropriate retention, confidentiality and accessibility
  • Document preparation such as correspondence, presentations, project documentation, briefing notes and reports, which may include research, sourcing and analysing information.
  • Stakeholder management, develop and maintain an effective network and co -operative relationships and communications both internal and external ensuring that items raised are dealt with in a responsive, timely and professional manner
  • Develop, coordinate and improve local systems and processes across the program to ensure maximum efficiency
  • Support for meetings including but not restricted to agenda preparation, schedule meetings, catering requirements, minute taking, actioning associated items, and providing advice to stakeholders

CFA requires an experienced, efficient project administrator with superior organisational and time-management skills. You will have the ability to manage and coordinate a range of office functions and projects and work with minimal supervision in a small and dedicated team. Additionally, you will offer

  • Demonstrated experience in providing project support services within a large and/or complex organisation.
  • Excellent written and verbal communication skills, with strong stakeholder engagement skill
  • Demonstrated experience utilising finance information management systems. Experience with SAP finance systems is preferred.
  • Strong computer literacy skills, particularly in Microsoft Office programs (Access, Outlook, Word, Excel, Power point and Share point).
  • Well-developed organisational skills and demonstrated ability to set priorities and meet tight work demands.
