Project Officer

 

Description:


The Project Officer – Logistics and Administration is responsible for providing efficient and effective logistics and administration support services for NCP program events and activities.  The role will support the planning, coordination and implementation of travel and logistical arrangements for NCP scholars, alumni and stakeholders to attend events and participate in activities in Australia and internationally. This will involve supporting events of various size and scale organised or supported by the NCP program, including a series of national conferences, forum and awards events that take place in Canberra targeting NCP alumni and scholars. It will also include providing support to the NCP contracts management and program support areas (scholarships, mobility and alumni) as needed for travel, logistics and administration arrangement for various program activities. The preference is for this role to be based in the Palladium Office in Adelaide, South Australia but Brisbane will also be considered.

Primary Duties And Responsibilities
 

  • Effective travel, administration and logistic support for key events set out in the NCP annual workplan and events schedule.
  • Effective contributions to planning and project implementation processes for NCP program events and activities
  • Effective support to finance, procurement and contracting processes relating to program events and activities Reporting, risk management and business improvement
  • Contribute to continuous improvement in service delivery and Program performance
     

Key Selection Criteria

Essential

 

  • Exceptional project coordination, organisational and administration skills
  • Experience of organising travel, logistics and administration arrangements for project stakeholders for key events or activities
  • Experience of providing travel and logistics support for small, medium and large-scale events and project activities, developing travel schedules and plans
  • Demonstrated ability to work in cross-cutting teams, managing tasks simultaneously with competing deadlines and multiple stakeholders
  • Strong process skills and an attention to detail, to ensure compliance with operational procedures and policies and client requirements
  • Proactive problem-solving skills and an ability to identify and manage risks and issues, within designated authority levels
  • Excellent interpersonal skills with the ability to effectively communicate both written and verbally and build a rapport with a diverse range of stakeholders both internally and externally to deliver successful events and project activities
  • Excellent organisational and computer skills MS Word, PowerPoint and Excel;
  • Fluency in English
  • Demonstrated commitment to diversity and inclusion, particularly in a cross-cultural context; and Available and willing to travel to support events in Canberra or other capital cities if required.
     

Desired
 

  • Experience of supporting projects and/or events for DFAT or another Australian government client
  • Experience of working in the international education sector, higher education sector or on scholarships and awards programs
  • Familiarity with web-based online travel booking systems
  • Ability to use project management and scheduling tools
