Geotab is seeking an Operations Assistant with experience managing administrative tasks and collaborating with internal and external stakeholders. The contract will be fix term (12 months) and part time (19h per week), being the schedule flexible and open to negotiation.
What You'll Do
As an Operations Assistant, you will handle important support along with organizational and service administration tasks, while acting as a point of contact for employees and vendors. This position ensures that all daily procedures and services run smoothly. The role also includes the ownership of important administration tasks relating to some business service offerings.
How you'll make an impact
- Provide administrative support to ensure efficient operation in the offices.
- Provide support and assistance to the logistics of the workshop (solving questions about orders etc).
- Administering data entry tasks to support the business.
- Maintain adequate inventory of office supplies and order as required.
- Responsible for outgoing mail, shipping and receiving.
- Provide systems administration support for regional Geotab services and 3rd party service providers.
- Support the Facilities Team in implementing Health and Safety policies as well as monitoring of 3rd party services such as cleaning and equipment maintenance.
- Assist with customer shipping queries and shipping administration.
- Ensure all visitors utilize sign-in security software correctly.
- Provide staff, visitor and temporary passes and maintain security log.
- File, sort and distribute mail and packages.
- Organize company documents into updated filing systems.
- Provide basic assistance for video conferencing or connectivity issues.
What you'll bring to the role
- 1-3 years of office and systems administration experience.
- Exercise a high level of confidentiality when dealing with sensitive information.
- Highly organized and able to manage multiple tasks and projects simultaneously.
- Proven experience in building strong customer relationships and communicating changes in a legislative environment
- Able to work well under pressure and respond to fast changing priorities and deadlines.
- Excellent verbal and written communication skills.
- Strong interpersonal relationship building skills.
- High accuracy and meticulous attention to detail.

- Technical competence using software programs, including, but not limited to, Google Suite for business (Sheets, Docs, Slides).
- Entrepreneurial mindset and comfortable in a flat organization.
- Experience and knowledge about the Heavy Transport industry will be a plus, including:
- Good knowledge of Australian geography both regional and metro areas.
- Understanding of Mass Management and Chain of Responsibility.
- Familiarity with state and legislative requirements, including NHVR (National Heavy Vehicle Regulator) / NHVAS.
- Understanding of Heavy Vehicle Combinations and dimension limits.
- An understanding of heavy vehicles operating at higher mass limits on state road schemes would be advantageous.
- Familiarity with transport documentation, permits and certifications would be highly desirable.
