This university college provides students with a place to stay and eat whilst studying. There are many other offerings the college provides for the students; some are courses that will support their learnings whilst at university others are the ability to compete in social events against the other university colleges.

As the Facilities Officer, you will manage various tasks around the college with a hands-on approach. Working closely with the Director of Operations, you will handle administrative duties and liaise with stakeholders. Attention to detail and troubleshooting IT issues with the support provider will be key responsibilities.

The Facilities Officer will support students, clients, and officers, providing excellent service. In our collaborative and welcoming environment, you'll work both independently and as part of a team, handling multiple priorities to ensure seamless operations across the college.

The Role
 

  • Oversee the procurement of stationary, cleaning supplies, and office equipment to ensure smooth operations
  • Manage and update reports on Microsoft Excel, keeping the Director informed regularly
  • Act as the go-to person for troubleshooting IT issues, coordinating with external providers to resolve them swiftly
  • Organise and conduct inspections and inventories to maintain high standards and compliance
  • Keep staff lists, procedures, and fire safety equipment updated and track necessary updates efficiently
  • Assist the Director with administrative tasks and effectively communicate with students
  • Handle and resolve any outstanding invoices promptly
  • Receive and manage parcels on behalf of students, ensuring timely distribution
  • Coordinate and arrange awards and photos for students at the end of the year to celebrate their achievements
  • Provide versatile support as directed by the Director of Operations, ensuring all tasks are completed smoothly
     

The ideal candidate:
 

  • Experience in a similar role ideally within the education sector (preferred not essential)
  • Enjoy being part of a community and supporting young adults
  • Has a caring, approachable and empathetic manner
  • Excellent knowledge with all Microsoft packages, specifically Excel
  • Ability to manage competing priorities
  • Handle sensitive information with the highest level of confidentiality
  • Excellent attention to detail and administrative skills
  • Strong communication skills both written and verbal
