Description:
Reporting to the Senior Vice President Asia Pacific & Managing Director, Australia and New Zealand, the Executive Assistant will be responsible for providing a high level of administrative support in the areas of internal and external correspondence, communications, records and reports, travel, meetings, and appointments.
Key Responsibilities & Accountabilities
- Assist in client liaison and management responsibilities
- Assist in event management planning and implementation
- Prepare correspondence, sales presentations, financial and other reports & documents, as required
- Manage Expense Recording, Diary Management, Travel Management, Company Governance matters
- Liaise with colleagues in different business units (Finance, Legal, IMG Media, Fashion, Models, etc) regarding follow-up of requests for information, action, and feedback on certain matters
- Maintain office procedures in a professional manner
- Update Work in Progress Reports and CRM on weekly basis
- Manage and respond to (where appropriate) internal (including global) requests for information.
Skills, Knowledge & Competencies
- 3-4 years prior experience in a similar corporate assistant role
- Advanced PC skills, specifically MS Office and Adobe Creative Suite, specifically Photoshop and InDesign
- Ability to honour confidentiality of information
- Effective communication skills, both verbal and written
- Excellent organisational skills, attention to details and time-management practices
- Ability to communicate professionally and effectively with company stakeholders, including but not limited to government organizations and corporate clients in a responsible manner
- Ability to take initiative and make decisions
- Ability to work under pressure, prioritise and multi-task
- Experience with online database management is valuable but not essential.
