About the Role:

As the Executive Assistant, you will be the first point of contact for our Chief Design Officer (CDO) at ToughBuilt. You will support our CDO in several key areas, including calendar management, scheduling, meeting/press/conference preparation, internal and external communication, and other projects or tasks as assigned. The ideal candidate is detail-oriented, consistent, structured, and organized when taking on complex tasks and situations. Excellent communication and interpersonal skills are essential as this person will manage executive relationships and do so with tact and precision. Schedule flexibility and attention to detail are vital as well.

 

Responsibilities:

  • Administrative support.
  • Manage daily incoming phone calls.
  • First level of support for incoming callers to provide timely assistance.
  • Manage CDO's schedule efficiently to maximize the number of appointments but still allow the CDO time to handle other daily responsibilities.
  • Schedules meetings, teleconferences, etc. for internal and external teams and clients and across all time zones.
  • Handles on-boarding activities for new employees, temporary employees and consultants.
  • Handles new equipment requests and repairs as applicable.
  • Coordinates travel arrangements for CDO and other employees as needed.
  • Performs general clerical duties to include photocopying, emailing, mail, filing, etc.
  • Maintains hard copy and electronic filing system.
  • Maintains schedule of employee time off requests and other key dates.
  • Assists all visitors, callers, and colleagues with courtesy and professionalism.
  • Assists with expense reporting, coding of invoices.
  • Assists Accounting with clerical tasks.
  • Creates presentations.
  • Schedules and coordinates events e.g., invites, logistics, etc.
  • Maintains the annual calendar and sending applicable calendar invites.
