Chandler Macleod are proud to partner with our Federal Government client, based in the Melbourne CBD. We are seeking exceptional Document Administration Officers for a 6-month opportunity on a full-time roster, Monday to Friday.
About the Role:
As a Customer Service Officer you will provide advice and support to customers in the issuance of issuance of sensitive, identification documents. This is a primarily customer facing role, whereby you may also rotate to support back of house administration needs. It is expected you will comply with the Victorian State Government mandate for vaccination in order to be considered for this role. This is an opportunity that is on-site, in the Melbourne CBD. The office and equipment are sanitised, social distancing and COVID-19 rules and regulations will be strictly observed to keep all workers safe. You will work under the general direction of your team leader to support operations and make decisions within procedural guidelines.
Duties:
- Perform high speed and accurate data entry, document preparation, scanning, personalisation, crop and document/photo exceptions
- Management and distribution of high volume of mail and correspondence
- Perform data verification of paper-based applications to online forms
- Ensure smooth document production workflow, ensuring data quality prior to issuing of formal identification documents
- Prepare and sort evidence documents to ensure identity documents have be released
- Perform customer service, notarial duties, personalisation support, custodian, and manage telephone enquiries
- Perform cashier duties including daily financial reconciliations
- Support the interpretation and analysis of relevant legislation, regulations, guidelines to issue sensitive identity documents to individuals
- Contribute to the delivery of high-quality outcomes for customers by providing a prompt, efficient and professional service
- Management of financial processing, including payment of invoices and refunds
Key Skills/Attributes:
- Prior experience in customer facing customer service roles with ability to organise data and administration needs
- Strong command of English language with excellent written and verbal communication coupled with fantastic customer service skills
- Team player, can work collaboratively and as a part of a wider team to achieve own and team targets
- Strong attention to detail and accurate data management capabilities and typing input
- Basic analytical skills with ability to interpret and analyse data
- Strong organisational, coordination and attention to detail to meet deadlines
- Intermediate computer literacy skills, confident along the Microsoft Package range
- Demonstrate appropriate judgement and problem-solving skills within defined parameters
- Self-starter and driven to set tasks and see them through to completion
- Strong time management skills to achieve targets against performance expectations
- A strong sense of professionalism whilst dealing with sensitive information
- Reliable and punctual
Required:
- Australian Citizenship required (Pre-engagement checks will be completed including submission for baseline clearance)
- Desired: Active Baseline Clearance
- Previous experience in a high performing, high volume environment
- Commitment to work office located in the Melbourne CBD, Monday to Friday
