Pan Pacific Perth is looking for Corporate Event Planner
About the role
As a Corporate Event Planner, you will be responsible for managing all aspects of confirmed events for the hotel in your portfolio, including the day to day responsibility of connecting with customers to plan the finer details of their events from menu selection and room configuration, to billing and event order preparation. A key part of the role is a collaboration with the operational teams to ensure the smooth running of the event on the day. Note you may be required to work in the evenings and occasionally on weekends for any events taking place outside of working hours.
Responsible for
· The coordination of a portfolio events from contract stage to event completion
· Preparing all relevant event documentation including floor plans, table plans, menu tasting and banqueting event orders
· Conducting site visits for potential clients and professional conference organisers
· Maintaining effective communication with clients to create accurate and complete banqueting event orders and ensuring the banqueting team delivers the event as per the client’s request
· Effective diary management to enable timely follow up of enquiries and completion of the event checklist in line with SOPs
· Recognising opportunities to maximise revenue by up-selling and offering enhancements to create a better overall event
· Coordinating event logistics by working closely with the banqueting team, the in-house AV company, suppliers, and clients
· Coordinating activities on the day of the event before handing them over to the banqueting team to ensure the smooth running of the event
· Following up on client feedback over the phone after the event in a timely manner
· Effectively cross-selling enquiries across the Group ensuring all enquiries are fully considered
· Preparing weekly reports for forecasting purposes
· Performing any other duties as assigned to meet business needs
About you
· High school certificate or equivalent qualification essential
· Qualification, degree, or certification in a relevant field desired
· Exceptional organisation skills
· Possess a very strong attention to detail
· Enthusiasm, confidence, a positive attitude and the ability to work in a team
· Excellent customer care and communication skills
· Fantastic time management and diary management skills
· The ability to remain calm under pressure
· Experience in managing customer relationships
· A passion for events
· Knowledge of Opera and Delphi desired
· Proficient in Microsoft Word, Excel and PowerPoint
· Professional and personal demeanour
· Excellent grooming standards
