We are currently seeking a Business Administrator with 6 years industry experience to provide functional administrative support to the infrastructure team in Sydney. This role will provide the opportunity to work with recognised leaders in the sector on some of Australia’s most important infrastructure capital investment programs, in a challenging and varied role with a strong focus on excellent commercial administration and organisational capabilities.

Reporting to the Director – Infrastructure, your remit will be varied and diverse and will combine accountability for defined elements of the commercial and administrative support activities for the team in addition to providing support to project and bid planning and project monitoring activities, whilst providing general administrative support and assistance to the leadership group.

You will be a proactive administrator with the skills and initiative to deliver accurate, timely and practical outcomes and results - assisting with budget updating and project forecasting, review and analysis of individual project finances and ability to maintain and update internal management control systems including invoicing and reporting on major projects in support of commercial managers, following up timesheets, raising purchase orders and creditor approvals.

Job Description

  • Financial reporting including budgets, project forecasts, review and invoicing
  • Tender/bid support and preparation.
  • General administration tasks.
  • Processing sub consultant and supplier invoices.
  • Project Administration support including document preparation, formatting.
  • Support the Infrastructure Sydney team with new starter onboarding and inductions, corporate travel booking, event planning
  • General office duties including managing the presentation of the office. 

Qualifications

  • Prior experience in an administration role desired.
  • Prior experience with financial systems.
  • Experience in bid/proposal preparation and/or accounts and invoicing advantageous.
  • Proficient knowledge of the Microsoft Office suite including Word, Excel, PowerPoint and Outlook preferred. M365 Dynamic desirable.
  • Strong organisation skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proactive approach with the ability to support a team of technical professionals.
