Description:
Reporting to the Head of Projects, the Administrative Assistant will provide administrative and coordination support to the project team and executive and will manage relevant systems and procedures.
Key responsibilities:
- Undertake administrative activities relevant to project delivery, including record management, secretariat support, IT systems management, diary management, and coordination of meetings and events.
- Coordination and management of telephone and email enquiries from the public, relevant stakeholders, and partner organisations.
- Support with financial activities including invoice processing, expense reimbursement, and remuneration for members of the Youth Advisory Group.
- Assist with projects and research.
Required knowledge and experience:
- Previous administration and/or office management experience.
- Effective communication and interpersonal skills.
- High-level competence with various software and record management systems.
- Demonstrated ability to work independently and with minimal direction.
- Experience managing and overseeing multiple tasks and procedures.
- Financial literacy and experience in managing financial processes such as reimbursements and petty-cash.
- Adaptable to changing demands.
- Excellent organisation skills.
