Administration Assistant

 

Description:

The Administration Assistant supports the Aged Care and Disability services and the broader service delivery team by processing required documentation, managing electronic data, and assisting with client requirements. This role is key to maintaining accurate records, managing compliance, and enhancing operational efficiency to drive quality service provision.

In This Role You Will Also Be Responsible For
 

  • Review contracts, pricing, and service agreements for accuracy and verify that services delivered align with client agreements.
  • Monitor funding utilisation to drive efficiency, adapt to changes, and maintain financial accuracy and control.
  • Maintain client information on SharePoint, including service details, data entry, and documentation management.
  • Monitor and manage the shared HCP Clients inbox, distributing emails as required.
  • Keep NDIS booking balances up to date to track funding status, and review NDIS plans and service agreements weekly.
  • Liaise with clients, case managers, and field workers to ensure service delivery aligns with client and referring entities' expectations.

You Will Also Bring
 

  • Previous experience in an administrative role within aged care, disability services, or a similar sector.
  • Proficiency in using document management systems (e.g., SharePoint).
  • Strong communication skills, both written and verbal and stakeholder management experience.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Familiarity with PRODA and an understanding of service agreements, NDIA plans, and funding structures will be an advantage but is not essential.
